How MODU Valves A/S handles personal data when you use modu-steam.com, sign up for our newsletter, or send us an enquiry.

2. What we collect
Newsletter
When you subscribe via the footer form we record your email address, your language preference, the source of the signup, the time of your consent and the IP address the signup was sent from. The IP address is kept as evidence that consent was given, as we are required to be able to demonstrate it.
Enquiries and quote requests
When you send a quote request we process the information you enter: name, email, company, phone number, country, preferred timeline, project description, any notes, the line items you selected, and any files you attach.
If you describe your requirement in the free-text field on the front page, we also process the text you write and your answers to the follow-up questions. That text is sent to a language model, as described in section 5 below.
Technical information
Our hosting provider processes technical log data, including IP address, timestamp, requested page and browser information, as part of operating and securing the site. We also use analytics as described in our cookie policy.
We do not collect special categories of personal data, and this site is not directed at children.

4. Who we share data with
We do not sell personal data. We use external processors to run the site and communicate with you. Article 13(1)(e) of the GDPR allows a controller to state the categories of recipients rather than name every provider, and that is the form used here:

Information about your enquiry is shared internally with the MODU staff who need to answer it.
5. Use of artificial intelligence
If you describe your requirement in the free-text field on the front page, that description is sent to an external language-model provider outside the EU/EEA. The model does two things: it structures your text into lines with quantities and specifications, and it suggests products from our catalogue. The result is shown to you, and you can correct it before you send anything at all.
Contact details and files are never shared with the AI model. Your name, email, phone number, company and country are entered at a later step and are never sent to the model. The same goes for everything you attach - images, PDFs, datasheets and drawings. Those are read only by a person at MODU.
One exception is worth knowing: if you write contact details into the description yourself, they form part of the text that is sent. The model sees what you type in the field - no more and no less.
It is worth being precise about what is sent and what is not:

The contact fields are only filled in at a later step and never form part of the request to the model. Attachments are deliberately kept out of it: they travel only in the email a member of MODU staff opens.
No automated decisions are made. The model's suggestions are a draft, not a decision. A quote is always prepared by a person at MODU, and no decision concerning you is taken solely on an automated basis within the meaning of Article 22 of the GDPR.
Your text is not used to train language models. The processing is covered by a data processing agreement with the provider, and the transfer out of the EU/EEA relies on the European Commission's standard contractual clauses, as described in section 6.

6. Transfers outside the EU/EEA
Some of the processors we use are established in the United States or may process data outside the EU/EEA. Where that happens, the transfer relies on the European Commission's standard contractual clauses or on an adequacy decision.
You can ask which providers those are, and request a copy of the transfer basis, by writing to info@moduvalves.com.
7. How long we keep data
- Newsletter: until you unsubscribe. After that we keep the record of your consent and your unsubscription for as long as needed to demonstrate compliance.
- Enquiries and quote requests: these are stored in a database hosted in the EU and sent at the same time by email to the staff who answer them. We keep them for 2 years after your most recent contact with us. If the request became an order, it is kept as an accounting record for 5 years, per the next point.
- Accounting records: 5 years from the end of the financial year the material relates to, under the Danish Bookkeeping Act.
- Technical logs: per our hosting provider's standard period.
8. Your rights
Under the GDPR you have the right to:
- access the data we process about you (Article 15)
- have inaccurate data corrected (Article 16)
- have data erased (Article 17)
- have processing restricted (Article 18)
- receive your data in a machine-readable format (Article 20)
- object to processing based on legitimate interests (Article 21)
- withdraw consent at any time. This does not affect the lawfulness of processing carried out before withdrawal
Write to info@moduvalves.com to exercise any of these rights. We respond within one month of receiving your request.
9. Complaints and changes
If you are unhappy with how we handle your data you can complain to the Danish Data Protection Agency, Datatilsynet, Carl Jacobsens Vej 35, 2500 Valby, datatilsynet.dk. We would rather hear from you first, so we get a chance to put it right.
We update this policy when our processing changes. The date at the top shows when it was last revised.
